Volunteer: .5K Trifecta Event Planning Committee Volunteer

0.5K Trifecta Event Planning Committee Members (1–3 Positions per Location)

Preferred Locations: Spearfish, Rapid City, and Hill City (volunteers from anywhere in the Black Hills are welcome)

Responsibilities include, but are not limited to:

Soliciting and collecting live auction, silent auction, and door prize donations
Building and maintaining relationships with local businesses and supporters
Transporting donated items to Spearfish by designated deadlines
Ensuring all information related to donated items is collected and provided to board members for donor stewardship, recognition, acknowledgment, and engagement purposes
Assisting with pre-event preparation
Supporting event operations on the day of the fundraiser
Assisting with post-event wrap-up and follow-up activities
Participating in online and in-person committee meetings and event planning throughout the year
Assisting with other event-related needs as assigned
Qualifications:

Must be comfortable working independently and as part of a team
Must be dependable and able to meet deadlines
Must possess strong organizational and communication skills
Must be willing to actively participate in fundraising and donor engagement efforts
Must be willing to attend all committee meetings and assist with event preparation and execution
Must have access to reliable transportation for collecting and delivering donated items
Must be willing to sign confidentiality, conflict of interest, and other organizational agreements as required by Hobo’s Healing Heart
Please note that these are year-round volunteer positions that may lead to opportunities to serve on the Board of Directors and/or Grant Application Committee. Individuals selected for these roles should be committed to supporting the mission of Hobo’s Healing Heart and helping ensure the success and sustainability of our fundraising efforts.

These positions are ideal for individuals who enjoy rolling up their sleeves, taking initiative, and actively contributing to a small, volunteer-driven organization where every volunteer plays an important role.

Recruiting and encouraging volunteers to participate in opportunities
Communicating with volunteers before and after events
Coordinating volunteer check-in at 0.5K Trifecta events
Providing volunteer rosters to board members overseeing community events
Updating volunteer opportunities within our volunteer management system
Tracking volunteer hours and maintaining accurate volunteer records
Sending handwritten thank-you notes, using stationery provided by Hobo’s Healing Heart, to volunteers following events and volunteer activities
Generating volunteer participation and tracking reports from our volunteer management system and providing them to the Board President by designated deadlines for board meeting preparation
Assisting with volunteer recognition, retention, and engagement efforts
Supporting the Board of Directors with volunteer-related needs and special projects as they arise
